Accommodation

Travel Centres have negotiated preferential room rates at the conference venue as follows: room on a bed & breakfast basis for sole occupancy: €199 per room. Twin/Double room rate is €219 and triple room rate is €239. All rates are inclusive of bed & breakfast and include VAT.

Allocation of positions in the room: 

Will be random with adequate separation between exhibitors who are competitors of each other. Tables will be positioned to maximize the space between them and thus reduce the likelihood of crowding or occasional bottlenecks. Each table will be provided with access to power for use of laptops, TVs etc., and wi-fi will be available throughout the room. 

Costs:

The conference registration fee for participation at the Saturday supplier workshop on November 8th is €1,499.00, excluding vat. This registration fee includes the following: attendance and participation in all morning sessions; table at supplier workshop on Saturday afternoon; lunch and dinner on Saturday for one attendee (additional attendees charged at €99.00 p.p.); regular refreshments throughout the day; power access at each table and full Wi-Fi connectivity. There is an optional extra cost for attendance at the Friday night owners/managers dinner which is €69.00 per person. The only other costs relate to preferred suppliers who wish to acknowledge the efforts of individual agents throughout the year by sponsoring awards in either/both of the following two categories: ‘Best Overall Sales’ & ‘Best improved Sales’ where the cost is €80 per trophy.

 

Delivery of marketing materials: 

Exhibitors should allow adequate time for the delivery of marketing materials such as brochures, promo material, giveaways etc., to the conference venue. Such deliveries should be marked for the attention of ‘Travel Centres’ and include your own company’s name so that all such deliveries can be kept in one secure location in advance of the arrival of conference delegates and facilitate easy retrieval on the day. Such materials should not be delivered to the conference venue before Thursday, November 6th, 2025, due to limited storage capacity at the venue.

Invoices

All invoices issued in respect of supplier registration/exhibition fees must be paid in full no later than October 3rd, 2025. 

Parking:

Because Lawlor’s hotel is located in the centre of Naas there is limited parking available. The hotel’s underground carpark has 108 spaces. There is overflow parking which is often used for bigger vans which is also available:

If there is no space in the underground car park, delegates can leave their car in Naas Multi Storey Carpark, which is located across the road from the hotel. Note: this carpark is open from 7am to 9.30pm Monday to Saturday & on Sunday from 8am to 6.30pm

Room Allocation

Lawlor’s Hotel will be managing the allocation of rooms at the conference venue. Suppliers/exhibitors wishing to reserve rooms for Friday and/or Saturday should contact Reservations directly on +353 (0)45 906 444 or by emailing them at [email protected] Please mark all such correspondence ‘Travel Centres conference accommodation’, in the subject heading of the email. Rooms will be allocated on a first-come, first-served basis. Travel Centres’ room allocation with Lawlor’s Hotel will be released back into general inventory on August 31st, 2024, after which all rooms will be on request and subject to availability.

Any rooms booked outside of this allocation block will be charged at BAR (Best Available Rate) on the night.

Setup/Dismantle times

Exhibitors will be provided with access to the function room(s) where the workshop sessions will take place on the Saturday afternoon from approximately 7.00 a.m. onwards in order to set up their stands; bring in marketing materials, etc. The workshop sessions will start immediately after lunch at 2.00 p.m. and finish at 17.00 and exhibitors will have 30 minutes to dismantle their displays; collect all materials and exit the room as it must be re-dressed and laid out for the gala dinner at 20.00 hrs. that evening.

VAT:

Non-resident exhibitors from overseas must notify Travel Centres of their VAT number so that reverse-charge invoices can be raised so no VAT will be added.



Conference 2025 Terms & Conditions

  1. To register, you must complete the online registration form below. 
  2. By registering online, you have agreed to accept these terms & conditions, and your confirmation of registration will be issued immediately. A contract will exist between you and Travel Centres as soon as your confirmation of registration is issued on the following terms and conditions:
  3. Full remittance of the relevant registration fees must be made not later than October 3rd; otherwise, a late booking fee of an additional €100 will have to be applied because of the additional administration involved. Payment may be made via electronic bank transfer, as per the following bank account details:

  4. Travel Centres reserves the right to pass on any increases in cost should they occur between the time of booking and the hosting of the event due to circumstances beyond its control.
  5. Cancellations received on or before Friday, October 3rd will receive a full refund less an administration charge of €150. Cancellations after this date or non-attendance will attract 100% cancellation fees.
  6. Many of the services associated with the annual Travel Centres conference event are provided by various third-party suppliers. Travel Centres has no control over the operations, personnel or equipment of these suppliers. In no event shall Travel Centres or any of its directors or employees assume responsibility, or be liable for any personal injury, property damage or other loss which may be occasioned by reason of: wrongful or negligent acts or omissions on the part of these third party suppliers or any employees of these suppliers; any defect or failure of any vehicle or other equipment owned, operated or otherwise used by these suppliers.
  7. The annual Travel Centres conference and supplier workshop is a business event and as such, all delegates are expected to behave in a professional and courteous manner at all times towards venue staff, invited guests and all other delegates.
  8.  Travel Centres reserves the right to change the conference programme at short notice due to circumstances beyond its control.
  9. Delegates attending the Travel Centres conference may be featured in videos, photographs and/or audio recordings from any events as part of future marketing campaigns. By attending the conference, you grant us permission to use video, photograph and audio recordings of you during the event.
  10. Tipping Point Ltd, trading as Travel Centres is the data controller and may collect personally identifiable information relating to you, a delegate (including your name; employers’ name and address; telephone number; email address and dietary requirements. Such information will be collected when you register online for the Travel Centres conference. We will use this information for the purpose of administration, marketing, customer service and feedback, as relevant and required.
  11. By providing us with personal information about medical, dietary or other special needs during registration, you consent to us passing such relevant information on to suppliers who will be providing the necessary services such as the conference hotel.
