IMPORTANT NOTES – PLEASE READ*

Costs:

The conference registration fee for participation at the Saturday supplier workshop on November 4th is €1,299.00, excluding vat. This registration fee includes the following: attendance and participation in selected morning sessions; table at supplier workshop; dinner on Friday night and lunch and dinner on Saturday for one attendee (additional attendees charged at €149.00 p.p.); regular refreshments throughout the day; power access at each table and full Wi-Fi connectivity.

Accommodation:

Travel Centres have negotiated preferential room rates at the conference venue as follows: room on bed & breakfast basis for sole occupancy: €200 per room. Twin/dbl room rate is €220. Triple-room rates are available for €250. All rates are inclusive of bed & breakfast and include VAT.

Room Allocation:

Killashee Hotel will be managing the allocation of rooms at the conference venue. Suppliers/exhibitors wishing to reserve rooms for Friday and/or Saturday should contact Reservations directly on 045 879277 or by emailing them at reservations@killasheehotel.com Please mark all such correspondence ‘Travel Centres conference accommodation’, in the subject heading of the email. Rooms will be allocated on a first-come, first-served basis. Travel Centres’ room allocation with Killashee Hotel will be released back into general inventory on August 31st, 2023, after which all rooms will be on request and subject to availability.

N.B. The above rates represent reduced conference rates and will be guaranteed only for rooms booked as part of Travel Centres’ conference allocation. Any rooms booked outside of this allocation block will be charged at BAR (Best Available Rate) on the night.

Invoices: All invoices issued in respect of supplier registration/exhibition fees must be paid in full not later than 4th October, 2023. VAT: Non-resident exhibitors from overseas must notify Travel Centres of their VAT number so that reverse-charge invoices can be raised so no vat will be added.

Setup/Dismantle times:

Exhibitors will be provided with access to the function room(s) where the workshop sessions will take place on the  Saturday  morning from approximately 7.00 a.m. onwards in order to set up your stands and bring in marketing materials etc. The workshop sessions will start immediately after lunch at 2.00 p.m. and finish at 17.30 and exhibitors will have 30 minutes to dismantle their displays; collect all materials and exit the room as it must be re-dressed and laid out for the dinner at 20.00 hrs. that evening.

Allocation of positions in the room:

Will be random with adequate separation between exhibitors who are competitors of each other. Tables will be positioned so as to maximise the space between them and thus reduce the likelihood of crowding or occasional bottlenecks. Each table will be provided with access to power for use of laptops, TV’s etc., and wi-fi will be available throughout the room. Delivery of marketing materials: Exhibitors should allow adequate time for the delivery of marketing materials such as brochures etc., to the conference venue. Such deliveries should be marked for the attention of ‘Travel Centres’ and include your own company’s name so that all such deliveries can be kept in one secure location in advance of the arrival of conference delegates and facilitate easy retrieval on the day. Such materials should not be delivered to the conference venue before Thursday, November 03rd, 2023, due to limited storage capacity at the venue.
